Overview

NEA Member Benefits (NEAMB) is accepting applications for the position as an Executive Assistant to join our Finance team. The successful candidate will provide administrative support to the Chief Financial Officer and the Finance Department.

Responsibilities

  • Carries out assignments deemed to be highly confidential and/or special in nature, interacting with various sources where appropriate.
  • Develops and maintains financial spreadsheets, graphs and charts. Assists with maintaining and reviewing financial data, investigates questionable data, and prepares reports.
  • Assists with Finance Department accounting processes, workflows, and documentation.
  • Maintains knowledge of files and is able to retrieve when necessary. 
  • Maintains meeting records and confidential files that may include statistical/financial data related to corporate operations and contract/labor negotiations. Must secure confidential information. 
  • Initiates responses to general and routine inquiries and correspondence, and drafts responses to non-routine inquiries for review.
  • Assists with the planning and coordination of various Budget and Audit Committee, Board, and Trust meetings. This may include data gathering, material and report preparation and producing meeting minutes.
  • Maintains appointment calendars and schedules for the Chief Financial Officer. Arranges travel itinerary, conferences and meetings.
  • Maintains control files of matters in progress and follows-up to ensure completion of projects.
  • Coordinates corporate functions as needed.
  • Performs a variety of recurring and special projects, as well as assists in establishing and implementing division procedures and guidelines indicated in work plans.
  • Develop reports and assist with the Executive Office Budget, status reports, etc.

     

     

     

     

     

     

     

Qualifications

This position requires five years of secretarial/administrative skills in a position where a high degree of judgement was necessary. Bookkeeping or accounting clerk experience highly desired. Education may be substituted for experience.

 

  • Typing speed of 70 wpm and excellent proofreading skills.
  • Excellent planning, organization and communication skills.
  • Extensive knowledge of Microsoft Office, i.e., Word, Excel and PowerPoint, Charts & Graphs.
  • Software knowledge in a LAN environment and scheduling package such as Outlook.
